Common Challenges

The problems every UAE warehouse faces.

Inaccurate stock. Wrong picks. Stock vanishing in transit between locations. Same three problems in every UAE warehouse we have walked into.

Stock levels never accurate because receipts and dispatches are not captured in real time

Warehouse team confirms stock on paper or at end of shift. By the time the system is updated, picks have already been made against incorrect stock levels. Overselling, short-picks, and emergency replenishments are routine.

How we solve it

Barcode scanning at goods receipt, put-away, and dispatch in ERPNext updates stock the moment each transaction happens. No batch updates. No manual entry at end of shift. Stock levels are accurate in real time.

Pick errors because pickers work from memory or paper lists

Wrong item picked, wrong quantity, wrong bin. Returns are costly. Client disputes follow. The root cause is always the same: pickers have no digital guidance and no system confirmation before goods leave the warehouse.

How we solve it

Pick lists generated in ERPNext by FIFO or FEFO with bin location shown for each line. Pickers scan the bin and item to confirm the pick. Mismatch triggers an alert before the goods move. Pick errors drop immediately.

No visibility of stock by bin, zone, or location within the warehouse

You know total stock in the warehouse but not where it is. Finding a specific item requires physically walking the floor. Put-away is informal: goods go where there is space, not where they should logically go.

How we solve it

Bin-level inventory configured in ERPNext. Put-away rules define where each item type goes. Stock reports show quantity by bin, rack, zone, or warehouse level. Any item can be located in the system in seconds.

Inter-warehouse transfers creating reconciliation gaps between locations

Stock moved between warehouses or zones is often not recorded formally. One location shows a shortage. The other shows a surplus. The goods are in transit and invisible to both. Monthly reconciliation takes days.

How we solve it

Every inter-warehouse transfer in ERPNext generates a transit entry that shows the stock as in-movement between the source and destination. Receiving location confirms arrival. No stock disappears between locations.

How It Works

Your warehouse cycle inside ERPNext.

From inbound dock to outbound dispatch, every movement scan-confirmed and recorded in real time.

01

Inbound Receipt

Truck arrives. GRN raised against PO. Items scanned and quantity verified. Quality check if required.

02

Put-Away

System assigns bin based on put-away rules. Picker scans item and target bin to confirm placement.

03

Pick List

Sales order generates pick list with bin locations. Picker scans bin and item at each line.

04

Pack & Check

Picked items confirmed, packed, and weighed. Packing slip generated per shipment.

05

Dispatch

Delivery note raised. Items scanned out. Stock deducted from bin in real time.

06

Reporting

Client stock report, ageing, slow-movers, and valuation always current. 3PL billing from actual transactions.

Questions

Questions warehouse operators ask us.

Does ERPNext support barcode scanning for warehouse operations?

Yes. ERPNext has a built-in barcode scanning interface for goods receipt, put-away, picking, and dispatch. Warehouse staff can use a handheld scanner or a mobile device with a camera. Each scan confirms the transaction and updates the stock ledger immediately. You do not need a separate WMS software. ERPNext handles both the ERP and warehouse operations in one system.

Can we track stock at bin level within the warehouse?

Yes. ERPNext supports bin-level inventory natively. You configure your warehouse layout — aisles, racks, shelves, bins — as a hierarchy in ERPNext. Stock is tracked at the lowest level you configure. Reports show quantity by bin, rack, zone, or whole warehouse. Put-away rules direct incoming stock to the correct bin automatically based on rules you define.

We run a 3PL operation with multiple clients. Can ERPNext segregate stock by client?

Yes. Each client's stock is held in a separately configured warehouse or warehouse zone in ERPNext. Stock reports, stock valuation, and billing are all filtered by client. You can generate a stock statement for each client showing what they have in your facility, by item and bin. 3PL billing can be configured against actual storage transactions — receipts, dispatches, and storage days — rather than being calculated manually.

How does inter-warehouse transfer work when stock moves between our locations?

You create a Stock Transfer order in ERPNext specifying the source warehouse, destination warehouse, items, and quantities. The stock moves to an In-Transit warehouse in the system, visible to both locations but not available for picking at either. When the destination confirms receipt by scanning the goods in, the stock moves from In-Transit to the destination bin. Nothing disappears between locations.

Can ERPNext handle cycle counting instead of a full wall-to-wall stock count?

Yes. ERPNext supports stock reconciliation at any level — full warehouse, zone, rack, or individual bins. You can run a cycle count on a subset of bins each week rather than counting everything at once. Variances are posted as stock adjustments with a reason. Count history is maintained for audit purposes.
