ERPNext Implementation Cost in UAE: Real AED Numbers

ERP pricing in the UAE is a contact-sales game. One competitor put it plainly: pricing here is deliberately opaque, with most vendors hiding numbers behind a button¹. The total cost of an ERP has five components: software licence, implementation services, data migration, training, and ongoing support and hosting. Vendors typically show you one¹.

We are going to publish our line items. Two reasons. First, you are budgeting, and vague answers waste your time. Second, we price fixed and in one call, so hiding numbers buys us nothing.

The five cost components, and which ones get hidden

Licence. ERPNext is free, open source, no per-user fee². This is structural, not promotional: the cost does not climb as you hire. For licensed competitors this line alone can dominate: annual maintenance in traditional ERP runs 18 to 22% of licence cost, forever¹.

Implementation. Discovery, configuration, testing, go-live. The biggest single line in most projects.

Data migration. Priced by data quality more than data volume. Clean masters import in days. A decade of duplicate customers does not.

Training. The line most often cut, and the reason systems fail a year later.

Support and hosting. The recurring reality: hosting, backups, upgrades, and someone to call.

What actually moves the price

Users: no. In ERPNext there is no per-seat licence, so headcount does not move the software cost². This is the single biggest structural difference from SAP B1, Odoo Enterprise, and Zoho.

Modules: yes. Accounting plus inventory is one project. Adding manufacturing, HR with WPS payroll, and a customer portal is another.

Data quality: yes, more than anyone budgets. The migration line is where quotes diverge, because it is where your history's sins get paid for.

Customization: yes. Custom doctypes, workflows, and integrations are real engineering. Scope them before signing, not after.

Integrations: yes. Every external system (e-invoicing ASP, bank, biometric devices, e-commerce) is a connection to build and maintain.

The hidden costs buyers hit anyway

Budget these or meet them as surprises: data cleanup before migration (the vendor quoted migration, not archaeology), scope creep after month one (the second department discovers the system exists), change management (someone senior spending real hours making people use it), and the second training round (staff turnover guarantees it).

Is ERPNext really free? The software is free and open source with no per-user licence. Implementation, hosting, customization, and support are the real costs².

What does the cheapest serious ERPNext setup cost in the UAE? Fixed entry packages exist under AED 10,000, including our AED 9,900 Starter Package with 8 modules. Published competitor packages start at similar levels¹.

Why do quotes for the same scope vary so much? Because migration is priced on your data quality, and customization is priced on discovery. Two honest vendors can quote differently based on how much risk they price in.
